With cyber-attackers growing more sophisticated and remote work becoming the norm, small and medium-sized businesses face increasing threats with limited in-house resources to counter them.

The UK Government’s Cyber Security Breaches Survey 2025 paints a clear picture:

43% of UK businesses reported a cyber breach or attack in the last 12 months.

For small businesses, that figure jumps to 50%, and 67% for medium-sized firms.

The most common threat is phishing, involved in 85% of reported breaches.

The average cost of a single disruptive breach was £3,550

For businesses already operating on tight margins, this is not just a nuisance — it is a direct financial risk.

Why Milton Keynes SMEs Are Particularly at Risk

Milton Keynes is a fast-growing tech hub, with a large number of SMEs operating in finance, logistics, retail, professional services, and technology.

Many of these businesses:

Have limited internal IT resource.

Have not been able to train their staff.

Manage sensitive client or financial data.

Will often rely on third-party vendors or SaaS tools.

Rely heavily on cloud services and remote access.

Each of these factors increases the businesses vulnerability — giving cybercriminals more ways in.

What Businesses Can Do Now

You don’t need enterprise-level budgets to build good cyber defences. Take these low-cost practical steps as initial measures:

Patch and update systems: Ensure all software and operating systems are up to date.

Hold regular staff training: Teach teams how to spot phishing emails and suspicious activity.

Strong access controls: Use multi-factor authentication (MFA) and use role-based access.

Monitor and plan: Implement basic monitoring and have a clear incident response plan.

The key is consistency — and this is where professional help can make all the difference.

The BlueZeon Advantage

For businesses looking for help to secure their business without hiring an internal IT team, BlueZeon offers a reliable and local solution. Just as Windows 7 and earlier versions were eventually phased out, Windows 10 is reaching the end of its lifecycle. Microsoft has committed to supporting each version of Windows for a set period, typically 10 years.. After October 14, 2025, Microsoft will stop releasing security patches, software updates, and technical support for Windows 10. As a result, continuing to use Windows 10 beyond this date poses serious risks for businesses. Let's break down what these risks are and why you may need to take action.

The Risks of Continuing to Use Windows 10 After Support Ends:

Security Vulnerabilities – The most significant risk businesses face after support ends is security. Without regular security updates, any vulnerabilities in Windows 10 that are discovered after October 2025 will remain unpatched. This could leave your systems open to cyberattacks such as malware, ransomware, and other data breaches. These kinds of attacks can be devastating for your business, leading to loss of sensitive information customer data and causing reputational damage.

Compliance Issues – For many industries, compliance with data protection regulations (such as UK GDPR etc.) is mandatory. Using unsupported software puts your business at risk of failing to meet these compliance standards.

Increased Downtime and Maintenance Costs – As Windows 10 becomes more outdated, other software vendors will also stop supporting. Eventually, your IT infrastructure could suffer from more frequent system failures, resulting in costly downtime and productivity losses.

Compatibility Issues – Over time, new software and hardware will be optimised for newer operating systems like Windows 11 and newer equipment. If your business continues using Windows 10, and you use third party software, troubleshooting issues, and maintaining devices could become much harder and more expensive and you may run into compatibility issues with the latest tools and technologies, slowing down innovation and growth.

Upgrading to Windows 11: A Smarter Choice for Your Business

So, what should you do to protect your business? The best course of action is to upgrade your systems to Windows 11 before support for Windows 10 ends. Windows 11 offers several benefits over its predecessor:

Enhanced Security Features: Windows 11 comes with stronger built-in security features, such as hardware-based isolation, improved threat protection, and more robust encryption.

Better Performance: With improvements in speed, efficiency, and user experience, Windows 11 can help your team be more productive.

Improved User Interface: Windows 11 features a cleaner, more intuitive interface, which can help reduce training time and boost employee efficiency.

Support for Newer Hardware and Software: As newer applications and hardware are optimised for Windows 11, upgrading will ensure your systems are future-proof.

However, before you proceed with the upgrade, it’s essential to check that your current hardware can run Windows 11 smoothly.

How to Check if Your Computers Can Run Windows 11

Windows 11 has stricter system requirements than Windows 10, including the need for specific hardware features such as:

A compatible 64-bit processor with at least 1 GHz clock speed and 2 cores

4GB of RAM or more

64GB of storage or more

A DirectX 12 compatible graphics card

A TPM 2.0 chip (a security feature)

A UEFI firmware with Secure Boot capability

To check if your devices are compatible, Microsoft offers a tool called PC Health Check. It’s a simple way to verify whether your current hardware meets the minimum requirements for Windows 11.

Click here to access the MS PC health check – to ensure your machine can run Windows 11.

Is there an Alternative? Extended Security Updates (ESU)

If your hardware isn’t compatible with Windows 11 or if you’re facing challenges upgrading, you might consider using Extended Security Updates (ESUs) as a temporary solution. ESUs are essentially a way to continue receiving security patches and critical updates for Windows 10 after the end of support.

However, at BlueZeon we do not recommend this option for businesses. While ESUs can provide an extra layer of security for a limited time, they are not a long-term solution. Here’s why:

Limited Updates: ESUs only cover security patches and critical updates, so any non-security-related issues or feature improvements will not be addressed.

Increased Costs: ESUs come at an additional cost, and over time, this could become more expensive than upgrading to a new OS.

Temporary Solution: ESUs only provide support for a few more years, meaning your business will eventually face the same problem again.

Compatibility Limitations: ESUs may not work with all third-party software or new hardware, limiting your ability to upgrade your IT infrastructure.

Given these drawbacks, Blueeon recommends that upgrading to Windows 11 is the more cost-effective and sustainable option for your business.

How the Attacks Happened

Hackers were believed to be part of the Scattered Spider the notorious cybercrime group although a separate group called DragonForce has claimed credit for the intrusions. It is believed that the hackers employed social engineering tactics to deceive IT help desks into resetting employee passwords. The attackers impersonated staff members, leveraging personal data obtained through social media. Once inside, they disrupted operations, leading to empty store shelves, halted online orders, and payment issues.

The group was suspected of breaching M&S systems as early as February 2025 and remained undetected for weeks, allegedly stealing the Windows domain’s NTDS.dit file—a sensitive database containing user credentials. They are also believed to have used ransomware to encrypt parts of M&S’s infrastructure.

Scattered Spider Also called UNC3944, Octo Tempest or Muddled Libra is reportedly known for employing advanced social engineering tactics, including phishing and multi-factor authentication (MFA) fatigue attacks, to infiltrate large organisations. Phishing tricks users into revealing sensitive information, while MFA fatigue involves bombarding users with repeated login requests in hopes they’ll approve one out of frustration or confusion.

The Co-op confirmed that customer data such as names and contact details were accessed, though no financial information was compromised. Co-op narrowly avoided being locked out of its systems completely. M&S faced significant disruptions, including suspended online orders and reliance on backup data for recovery, which experts warn may take months.

Whilst this news story has faded a bit with time – it is less well known that smaller distributors to the UK’s major supermarkets were also affected. A Shepton Mallet based chilled food transporter that supplies supermarkets including Tesco, Sainsbury’s, and Aldi said it was being held to ransom by cyber hackers. A ransomware attack is when hackers encrypt a victim’s data and lock them out of computer systems, demanding payment to hand back control to the victims. This company is relatively small compared with larger UK food distributors (such as GXO) and the supermarkets themselves. Proving that hackers will not just target well-known names.

Why Your Business could be at Risk

Cybercriminals target firms of ALL sizes trying to exploit vulnerabilities in businesses security infrastructure. A significant weakness is human error, such as falling for phishing emails or using weak passwords. Additionally, many businesses lack robust cybersecurity measures, making them attractive targets for attackers.

How to Protect Your Business

At BlueZeon, we recommend the following steps to safeguard your business:

Staff Training: Educate employees on recognising phishing attempts and the importance of cybersecurity practices.

Modern Anti-Virus and Ransomware Software: Implement up-to-date security software to detect and prevent threats.

Multi-Factor Authentication (MFA): Require MFA to add an extra layer of security to your systems.

Regular Backups: Ensure critical data is backed up securely and regularly, with at least one backup stored offline.

Secure Password Practices: Enforce strong password policies and encourage the use of password managers.

By taking these proactive measures, you can significantly reduce the risk of a cyberattack and protect your business from potential harm.

If you would like assistance in implementing these security measures or have any questions, please don’t hesitate to contact BlueZeon.

These are often targeted by hackers who look to exploit and steal passwords and data from people using these networks. You should always tether to your mobile phone where possible and if you really MUST use a public Wi-Fi connection, then you should use a secure VPN whilst connected to encrypt your data in transit. Nord VPN https://nordvpn.com offer a reasonably priced VPN solution if you do not have a business VPN to use.

Don’t click on unsolicited e-mail attachments and links.

Never click on a link or open an attachment in an email unless you are expecting them, even if you recognise the sender. The sender may have had their account compromised or it could be a spoofed email to appear to come from that known contact. It is always best practice to go to a website address directly and log in to access information and files where possible. If you ever click on a link or an attachment and you get prompted for a username and password unexpectedly, STOP! speak with either the sender on the phone or check with your IT department before proceeding.

Don’t save passwords and credit card information to browsers.

Avoid saving passwords and credit card information within website browsers when prompted, this sensitive information can easily be extracted from the browser with just a few basic tools and a little IT Knowledge! If you would like to save passwords to make things easier, we would recommend using a professional business-grade password manager such as Keeper Security. This encrypts the database to keep all your precious passwords and personal data safe.

Don’t connect to unknown or unsecured websites.

When connecting to websites it’s key to ensure that they are protected with the HTTPS:// and the SSL padlock. Especially when entering any personal or financial details into a website. Secured websites deliver end-to-end encryption to prevent your personal data from being intercepted. Don’t enter personal information into websites without the padlock symbol.

Regularly update all software, including antivirus and anti-malware programs, web browsers, and operating systems. Many cyberattacks exploit known vulnerabilities in outdated software, so staying current is crucial.

Ensure that you install all the latest Windows and Mac OS Security patches and updates for Third-Party applications to your Desktops, Laptops and Mobile Devices. This should be performed at least once weekly!

It has been known for hackers to register domains with just one character difference to present fake bank login pages to capture your banking or other sensitive credentials and information.

EDR offers much better options for remediation from security events and Ransomware (without having to pay the ransom). Anti-virus software protects from known viruses, EDR looks at all endpoint activity that is unusual allowing it to pick up unknown viruses and malware and respond or stop an attack before it spreads to other devices on your network.

This would leave you without your key business data. A second backup to a different secure location will protect you if your cloud account details are to be compromised.

Do use website filtering.

Deploy a website filter to all machines in the business, this will block most known malicious websites like email phishing sites and prevent illegal and adult content from being accessed (which could potentially leave you liable, even if this were to be accessed by your employees). This also protects you against accidental access, where a member of your team could inadvertently click on a link or advert and end up on a malicious, Adult, or illegal site.

Do use Two Factor Authentication.

Do use Two Factor Authentication.

Although it can seem like a real pain using two-factor authentication, it is essential that you use it on every internet-facing account that you have. The pain of putting in a code from an app on your phone occasionally is MINIMAL when compared to having to deal with the STRESS and HUGE cost implications of recovering from a serious Cyber Attack. Avoid using two-factor authentication methods that just allow you to approve the login with a click in the app or via a call to a mainline telephone number. If a hacker kept trying to log in to your account repeatedly, multiple calls could be received and from sheer annoyance and exhaustion, people just tend to approve the login. The more secure two-factor authentication methods are the ones where you have to type in a code from the Microsoft Authenticator app https://www.microsoft.com/en-gb/security/mobile-authenticator-app

What is VoIP?

VoIP is a technology that allows businesses to make voice calls using the internet instead of traditional phone lines. This technology converts your voice into data packets, which are then transmitted over the internet, making communication faster, more flexible, and much more affordable than traditional phone services.

An essential component of VoIP is the SIP (Session Initiation Protocol) line. SIP lines are the virtual equivalent of traditional phone lines, but they connect via the internet. They’re responsible for setting up, managing, and terminating calls. SIP lines allow businesses to make calls to landlines and mobile phones, and can scale easily, depending on your company’s needs. With SIP lines, businesses can bypass traditional telephone infrastructure, resulting in cost savings and greater flexibility. As a result, VoIP systems are often far more affordable and scalable than traditional landline systems.

What are the Benefits of VoIP?

Cost Savings

One of the most attractive benefits of VoIP is the significant cost savings it can provide. Traditional phone systems rely on physical infrastructure, like copper wires, which incur maintenance costs and long-distance call fees. VoIP, on the other hand, uses the internet to transmit calls, meaning businesses can save substantially on both local and international calls. Traditional telephone lines charge by the minute for all calls whereas VoIP typically allows businesses to make free calls to landlines and most mobile numbers.

This makes it an ideal solution for startups, SMEs, and growing companies looking to optimise their communication infrastructure without breaking the bank. This is a massive cost-saving benefit for businesses that rely on communication with clients, partners, and suppliers both locally and internationally.

PBX Functionality Without the Cost

Another significant benefit of VoIP is the ability to access switchboard or PBX (Private Branch Exchange) functionality without needing expensive and complex equipment. A PBX system traditionally allows businesses to manage multiple phone lines, route calls to different extensions, and offer other features like hunt groups, pick up groups and voicemail. With VoIP, you can integrate PBX features directly into your employee’s devices whether they are using desktop phones, laptops, tablets, or mobile apps. This means your business can manage inbound and outbound calls, set up automated menus, forward calls to specific departments, and provide voicemail, all without the need for on-site hardware or constant maintenance. VoIP makes it simple to create a professional, efficient phone system that enhances customer service, improves internal communication, and boosts productivity.

Scalability and Flexibility

VoIP systems are highly scalable, making it easy to flex your communications setup as your business needs change. Whether you’re adding new employees, opening additional offices, or simply needing more phone lines, VoIP systems can grow with your business. Adding additional lines or features often involves nothing more than a simple software update, which is far more efficient than traditional phone systems that require physical installations or changes.

Moreover, VoIP can be easily integrated with a wide range of other tools and software like CRM (Customer Relationship Management) systems or video conferencing platforms, giving businesses more flexibility in how they communicate.

Enhanced Mobility

With the rise of remote working and distributed teams, having a communication system that enables you to stay connected anywhere that you have an internet connection is more important than ever. VoIP allows employees to make and receive calls from any device, whether they’re in the office, at home, or on the go. This level of mobility ensures that you’re never out of touch, no matter where you are. For UK businesses, particularly those with a workforce that needs to be agile, VoIP provides an invaluable solution for remote communication and collaboration.

Eliminating the Need for Company Mobile Phones

Managing company mobile phones can be expensive, time-consuming, and often inefficient. From the upfront cost of purchasing the phones to ongoing maintenance, repairs, and the cost of monthly contracts, many businesses are seeking alternatives. VoIP provides an excellent low cost solution. Employees can make and receive calls directly from their VoIP-enabled devices, such as laptops, tablets, or smartphones. This allows companies to reduce the costs associated with supplying, maintaining, and upgrading physical mobile devices for your team.

VoIP systems often come with mobile apps that can work across different devices, meaning employees can use their personal devices to access their business communication system without incurring additional costs. This saves money and enhances flexibility.

Phones are an essential part of the daily operations of most businesses, but when a company phone is lost, damaged, or stolen there are often expensive repairs, replacements, and downtime as you wait for a new device. With VoIP, these issues are eliminated. Since VoIP systems work over the internet, employees can access their communications from any device, including personal phones or computers. If a phone is lost or damaged, the employee can simply log in to their VoIP system from another device and continue working without disruption.

This not only saves your business the cost of replacing physical phones but also ensures that your employees can maintain productivity, no matter what happens to their physical devices.

Improved Customer Experience

A great communication system can significantly enhance your customer service. VoIP allows businesses to implement advanced features such as automated answering, queuing systems, and seamless call transfers, ensuring that customers always receive prompt and professional service.

In an age where customer experience is a key differentiator, VoIP enables you to provide fast, efficient, and personalised service, giving you an edge over competitors that may still rely on traditional, less flexible communication systems.

Which provider should you choose?

While VoIP is a powerful technology, choosing the right provider to implement and support your system is equally important. Here’s why opting for a partner like BlueZeon can be the right choice for your business:

Personalised Service and Support

One of the most significant advantages of working with a local provider like BlueZeon is the personalised service you’ll receive. National providers may struggle to provide the level of attention and support that smaller businesses need. With a local MSP, you can expect tailored solutions designed to meet your specific requirements, as well as more direct, responsive customer support.

BlueZeon understands the unique needs and challenges faced by local businesses in the local area. This means that they can provide faster, more efficient support and ensure that your system is optimised for your business needs.

Faster Response Times and Better Service

When issues arise with your VoIP system, you don’t want to wait for days or even weeks for support. National providers often rely on call centres, which can lead to long wait times. With BlueZeon, you benefit from faster response times and the ability to speak to experts who answer the telephone who know your business and will provide hands-on support.

Better Value for Money

Smaller companies can be more flexible with pricing than large national providers. With a local company BlueZeon who have less overheads than larger players, you’re more likely to receive customised solutions that align with your budget and business needs. Additionally, you’ll avoid the hidden fees and complex contracts that often come with national players, meaning you get better value for your money.

Building a Strong Relationship

When you work with a local provider, you can build a lasting relationship based on trust and understanding. This personal connection makes it easier to communicate your needs and ensures that your VoIP solution evolves alongside your business. With BlueZeon, you get a dedicated partner who genuinely cares about your success, rather than just another service provider. This relationship is a key factor in ensuring the long-term success of your VoIP system.

Potential Downsides of VoIP Over Traditional Solutions

While VoIP offers numerous advantages, there are a few potential downsides to consider when compared to older, traditional telephone systems. One of the main concerns is dependence on a stable internet connection. If your internet service goes down or experiences poor performance, your VoIP service can be affected, leading to call quality issues or even lost connectivity. Additionally, power outages can disrupt VoIP services, as they rely on both internet and electrical power. With traditional landlines, you can still make calls even during power cuts. This downside is a diminishing problem with 4G coverage expected to reach 95% coverage of the UK this year.

VoIP systems can require more initial setup and configuration if you’re integrating them with other business systems, compared to the simplicity of a traditional phone line. However, with the right planning, regular maintenance, and reliable internet, these drawbacks can be minimised, allowing businesses to enjoy the full benefits of VoIP without significant issues.

Conclusion

VoIP offers significant benefits for customers, including cost savings, flexibility, and enhanced call quality. With features like scalability, easy integration, and the ability to connect anywhere, it’s clear that VoIP technology is a no-brainer for businesses given the upcoming copper system decommissioning. Embracing VoIP before then ensures businesses stay competitive, while customers enjoy improved service and greater convenience in their communications.

While this may seem like a small shift, transitioning to efficient IT infrastructure and offsite data management can significantly reduce the carbon footprint. Here’s how SMEs can begin their journey toward sustainability with these tech-based strategies.

Why IT Infrastructure Matters for Carbon Emissions

For many SMEs, computer equipment and onsite servers contribute significantly to their carbon emissions. This is primarily due to the energy required to run hardware, maintain temperature controls, and manage other physical resources. Traditional servers are power-intensive, and when they’re hosted onsite, they require dedicated space, cooling systems, and constant maintenance, all of which add up in terms of energy consumption.

According to research, data centres account for roughly 1% of global electricity use, and this is only projected to increase with the demand for data. By moving IT infrastructure to the cloud and updating equipment to energy-efficient options, SMEs can substantially cut down on their environmental impact.

Upgrading IT equipment to more modern energy-efficient models

One of the simplest steps toward reducing carbon emissions is upgrading computer equipment to more energy-efficient models. Most hardware manufacturers have developed products that consume less power and offer longer lifespans. For instance, laptops generally consume less energy than desktop computers. Replacing older desktop computers with modern, energy-efficient laptops or desktops can cut down on electricity usage and reduce overall energy costs.

SMEs can choose hardware certified by the UK’s Energy Technology List (ETL), managed by the Department for Business, Energy & Industrial Strategy (BEIS). The ETL is a government-backed program that lists energy-efficient equipment which meets strict criteria for energy performance. By choosing ETL-approved models, businesses can ensure their equipment is highly efficient, reducing both energy costs and environmental impact. Many modern computers now come with energy-saving settings and power management options that lower power consumption during inactivity, which can lead to significant energy savings over time.

Moving Data and Applications to the Cloud

Perhaps the most significant change SMEs can make is moving their data storage and applications to the cloud. By shifting to cloud-based solutions, businesses no longer need to rely on energy-consuming onsite servers. Cloud providers, such as Amazon Web Services (AWS), Google Cloud, and Microsoft Azure, operate data centres that are optimised for energy efficiency and often powered by renewable energy sources.

Cloud providers are committed to sustainability and have made significant investments in renewable energy and efficient infrastructure. In fact, in their 2020 report “The Green Behind the Cloud” Accenture found that moving to the cloud can reduce a company’s energy consumption by up to 65% and carbon emissions by as much as 84%. This is because cloud providers use sophisticated energy management systems and server utilization strategies that an SME could not replicate with in-house servers.

Utilising Cloud Services to Reduce IT Waste

Another advantage of cloud solutions is the reduction of electronic waste, which is an often-overlooked aspect of an SME’s environmental footprint. By moving to the cloud, SMEs no longer need to purchase, maintain, or eventually discard physical servers. This helps extend the lifecycle of IT equipment, leading to less e-waste in landfills. Cloud providers are also investing in recycling and repurposing their hardware, which further reduces the environmental impact.

Optimising Business Processes with Cloud-Based Collaboration Tools

Cloud services offer access to a range of collaboration and productivity tools that can streamline operations and reduce the need for physical office space. For example, tools like Microsoft Teams, Slack and Google Workspace, enable remote work and reduce commuting, thereby lowering a company’s carbon footprint. The cloud can also facilitate digital meetings and virtual file storage, which cuts down on paper waste and energy spent on commuting.

Monitoring and Managing Energy Consumption Through the Cloud

One of the key benefits of cloud computing is its ability to provide insights into resource usage. Cloud providers offer detailed analytics that help businesses understand and track their energy consumption and environmental impact. By monitoring their carbon footprint in real-time, SMEs can take actionable steps toward improvement. Cloud platforms, such as Microsoft Azure, provide carbon tracking tools that let users monitor their carbon footprint and help them make greener choices.

Cost Savings and the Competitive Advantage of Sustainability

In addition to environmental benefits, adopting a sustainable IT infrastructure can lead to cost savings. Energy-efficient equipment and cloud solutions typically reduce operating costs, making them a cost-effective choice in the long run. as consumers and larger corporations increasingly prefer eco-conscious partners, SMEs can use their sustainability efforts as a marketing advantage. A commitment to net-zero practices demonstrates corporate responsibility and can help attract like-minded clients and customers.

Conclusion

For SMEs aiming to achieve carbon net-zero goals, updating computer equipment and moving services into the cloud are practical, cost-effective steps to take. Energy-efficient hardware reduces electricity usage, while cloud-based solutions offer a streamlined, environmentally friendly way to manage data and business operations. Not only do these steps reduce carbon emissions, but they also lower operating costs and enhance corporate responsibility. By adopting sustainable IT practices, SMEs can make a significant contribution to a greener future, while benefiting their bottom line and reputation in an increasingly eco-conscious marketplace.

It can enhance your productivity and be a protector of your business and customer data – it should be the backbone of your organisation. It is vital that you work in partnership with an IT provider that meets your business needs.

You may have considered switching your MSP before but might have been worried about the risks. However, it doesn’t have to be painful or risky if you use a structured approach.

When looking for a new MSP you should consider several factors to ensure you find the right company. There will be many IT Managed Service Providers (MSPs) in your locality and no two are the same. The level and quality of support varies widely. Make sure you don’t change providers to fix a current problem only to have to endure a different set of issues.

If you aren’t happy with your current support, the first thing to do is raise this with your MSP or account manager. If you have done this and it has not been addressed you should note down the specific areas, you would want your new provider to excel.

Things to do before engaging with a potential new partner.

If you have made the decision to switch to a new supplier, you should follow a structured approach to minimise the risks to your business and make the transition as easy as possible.

Be clear about the type of support you need – (different support levels = different costs) Choose from: Reactive; Proactive; Fully Managed

Look at your current contract and establish the notice period – you can then confirm when you want the switch to be effective.

Check Companies House records. Check the business is established, has sound finances, and has enough staff to support your business.

Make referral calls – Ask for a list of customers to call and don’t tell them which ones you are calling – 3 should be enough.

Check Reviews – most companies use a customer feedback system, this could be the Net Promoter Score (NPS), Google Reviews, Trust Pilot, or other Customer thermometers.

Once you have selected a provider (or a shortlist) follow these steps

Check how much the new MSP is going to charge compared to your existing service. Whilst cost is important to all businesses don’t assume that the cheapest will be the best in the MSP arena.

Arrange a preliminary discovery meeting. The MSP should ask for this and should give you an assessment of your company’s IT health, what you would need to consider in terms of a technical roadmap, and what is required to be supported.

Be sure that the new MSP will improve the service support & protection of the data that your business needs. Some useful checks would be:

How quickly will your team get to speak to an IT engineer who can fix your problem?
This is critical for the quick resolution of your issues.

Understand if the provider uses, receptionists, call queuing, or auto-attendant phone menus.

What metrics do they have on call answering – do they answer within a set number of rings? Do technicians answer the phone?

If you need a technician on-site – for a hardware or network issue – how quickly can they normally get to your business? A reasonable time would be 1-2 hours.

Establish how long will switching to the new provider take and what will be the likely impact on your business.

Ensure that the MSP is using reputable protection, backup, and monitoring software.

Ask how they would backup your data and what Disaster Recovery options they would include.

If possible, get service items agreed upon in a written Service Level Agreement (SLA) so your business is protected going forward.

In conclusion, make sure you are disciplined in your selection of your new MSP. After the selection ensure you have regular meetings with your MSP and keep them updated with any changes and plans for your business.

Insist your MSP keeps you updated with new IT developments – particularly those that can help your business be more efficient and keep it secure.
